Breanne Cook Coaching respects your privacy and is committed to protecting your personal information.
This Privacy Policy explains what personal information I collect, why I collect and use it, how it is stored and shared, how long I keep it, and the rights you have in relation to your information.

For the purposes of UK data protection law, I am the data controller for personal information processed by Breanne Cook Coaching.
This means that I am responsible for deciding how and why your personal information is used.
2. Who this Privacy Policy applies to
This Privacy Policy applies to personal information I collect about people who:
visit or contact me through my website;
make an enquiry;
book or participate in one-to-one coaching;
attend a group, workshop or event;
complete a coaching, booking, subscription or contact form;
communicate with me by email or another agreed method;
subscribe to my mailing list;
provide a testimonial;
send photographs or other creative material to me; or
otherwise interact with Breanne Cook Coaching.
My coaching, groups and workshops are intended for adults aged 18 and over.
3. Personal information I may collect
The information I collect depends upon how you interact with me.
It may include:
your name;
email address;
telephone number;
postal address where relevant;
booking and appointment information;
payment and transaction information;
correspondence between us;
information you provide through enquiry, coaching, booking, subscription or other forms;
coaching notes and records;
information you choose to discuss during coaching;
information relating to your participation in groups or workshops;
photographs, writing or other creative material you choose to send me;
testimonials and associated information where you choose to provide one;
mailing-list preferences and records of consent;
information necessary for accounting, insurance, legal or administrative purposes; and
technical information relating to use of my website where this is collected by my website or associated services.
I aim to collect only information that is reasonably necessary for the relevant purpose.
4. Special-category personal information
Because my work involves grief, loss and people's personal experiences, you may choose to share information that is particularly sensitive.
Some of this may be classed as special-category personal data under UK data protection law.
Depending on what you choose to share, this could include information about:
your physical or mental health;
religious or philosophical beliefs;
racial or ethnic origin;
sexual orientation or sex life; or
other information falling within the special categories defined by data protection law.
I do not ask you to provide sensitive information unless it is relevant to the service I am providing, and you are not expected to disclose information simply because you are receiving coaching.
Where special-category information is necessary for the coaching service and I rely upon your explicit consent to process it, I will obtain that consent separately, for example through my coaching documentation.
You may withdraw consent to processing that relies upon consent by contacting hello@breannecook.com.
Withdrawal of consent does not affect the lawfulness of processing that took place before you withdrew it.
If particular information is necessary for me to provide a service, withdrawing consent may mean that I am no longer able to provide some or all of that service. I will explain this to you if it arises.
5. How I collect your information
I primarily collect personal information directly from you.
This may happen when you:
contact me;
complete a form;
book a service;
enter into a Coaching Agreement;
attend coaching;
participate in a group or workshop;
make a payment;
subscribe to my mailing list;
communicate with me;
send me a photograph or other material; or
provide a testimonial.
Some information may also be generated when you use my website or interact with services used to operate my business.
Where bookings, payments or communications take place through a third-party service such as Eventbrite, Stripe or Mailchimp, information may also be received or processed through that service.
6. Why I use your information and my lawful bases
UK data protection law requires me to have a lawful basis for processing personal information. The basis I use depends upon why I need the information.
Providing and administering my services
I may use your information to:
respond to enquiries about my services;
arrange coaching;
administer bookings;
provide coaching;
administer groups, workshops and events;
communicate with you about a service;
process payments and maintain transaction records; and
manage our contractual relationship.
For ordinary personal information required to provide a service you have requested, my lawful basis will generally be that processing is necessary to take steps at your request before entering into a contract, or to perform my contract with you.
Special-category information
Where you provide special-category information that needs to be processed as part of coaching, I will ordinarily rely upon your explicit consent as the additional condition permitting me to process that information.
Running and protecting my business
I may process appropriate personal information where necessary for my legitimate interests in running and protecting Breanne Cook Coaching.
These interests may include:
administering my business;
maintaining appropriate records;
managing enquiries and communications;
maintaining the security of my services;
responding to complaints;
establishing, exercising or defending legal rights; and
obtaining appropriate professional advice.
Where I rely upon legitimate interests, I consider whether my interests are overridden by your rights, interests or freedoms.
Legal obligations
I may process information where necessary to comply with a legal obligation, including tax, accounting or other applicable legal requirements.
Marketing
Where consent is required, I use your information for email marketing only where you have actively chosen to receive those communications.
Marketing consent is separate from booking or receiving coaching.
You do not have to join my mailing list in order to use my services.
7. Email marketing and Mailchimp
I use Mailchimp to manage my mailing list and send marketing and other email communications to people who have chosen to receive them.
If you subscribe, Mailchimp may process information such as your name, email address, subscription status and information associated with the delivery of or interaction with those emails.
I will not automatically add you to my marketing mailing list simply because you enquire about or use my services where consent is required.

Unsubscribing from marketing will not prevent me from sending necessary administrative communications relating to a service you have booked.
8. Payments and bookings
I may use the following services to facilitate payments or bookings:
Stripe;
Eventbrite; and
BACS/bank transfer.
Where you use one of these services, that organisation may process personal information in accordance with its own privacy information.
Where payment is processed by a third-party payment provider, I do not normally receive or store your complete debit or credit card details.
I may retain appropriate transaction information for accounting, tax and business-record purposes.
9. Coaching records
I may keep records relating to my coaching work, including coaching forms, agreements and coaching notes.
These records are used for purposes connected with providing and administering the coaching service and maintaining appropriate professional records.
Electronic coaching records may be stored securely using Google Drive/Google Workspace.
I take reasonable technical and organisational steps to restrict access to confidential client information and protect it from unauthorised access, loss, alteration or disclosure.
10. Photographs and creative material
You may sometimes choose to send me photographs, writing or other creative material as part of coaching, a group, workshop or another activity.
Material submitted privately as part of our work will be treated as confidential information and handled in accordance with this Privacy Policy.
Sending something to me privately does not give me permission to publish it, place it on my website, use it on social media or use it for marketing.
Where a photograph or other material contains identifiable information about another person, their personal information may also be contained within the material.
11. Testimonials
I may publish testimonials where I have appropriate permission from the person concerned.
Providing a testimonial is voluntary.
Where you give permission for your name, photograph or other identifying information to accompany a testimonial, I will use that information within the scope of the permission you have given.
You are not required to provide a testimonial in order to receive my services.
12. Who I may share information with
I do not sell your personal information.
I may need to share personal information with, or allow appropriate access to it by, organisations that help me operate Breanne Cook Coaching.
Depending upon the service concerned, these may include:
my website and hosting provider: Microsoft Azure Static Web Apps;
Google/Google Workspace, where electronic coaching records may be stored;
Mailchimp;
Stripe;
Eventbrite;
Zoom, which I use for online coaching, groups and workshops;
accountants, insurers, legal advisers or other professional advisers where necessary; and
courts, regulators, law-enforcement agencies, government bodies or other organisations where disclosure is required or permitted by law.
I aim to share only the information reasonably necessary for the particular purpose.
Some providers may act as processors on my behalf, while others may act as independent controllers of information they receive.
13. International transfers
Some of the technology and service providers I use operate internationally.
This means that personal information may sometimes be stored in or accessed from countries outside the United Kingdom.
Where UK data protection law treats this as a restricted international transfer, I will take reasonable steps to ensure that an appropriate lawful mechanism or safeguard applies. This may include UK adequacy regulations or appropriate contractual safeguards.

Clients may also access my online services from countries outside the UK.
14. How long I keep information
I do not keep identifiable personal information for longer than I reasonably need it.
How long particular information is retained depends upon:
why it was collected;
whether our relationship is continuing;
legal or regulatory requirements;
tax and accounting requirements;
insurance requirements;
whether information may reasonably be required in connection with a complaint or legal claim; and
the nature and sensitivity of the information.
Financial and transaction records may need to be retained for the periods required by tax and accounting law.
Mailing-list information may be retained while you remain subscribed. Appropriate records may also be retained afterwards where necessary to demonstrate or respect your marketing preferences.
Coaching records will be retained only for a period that I can reasonably justify having regard to the nature of the service, applicable legal and insurance requirements and the sensitivity of the information.
Information that is no longer reasonably required will be securely deleted or anonymised where appropriate.
15. Security
I take reasonable technical and organisational measures to protect personal information against accidental loss, misuse, unauthorised access, alteration or disclosure.
Access to confidential coaching information is restricted and records are stored using services and security measures appropriate to the information concerned.
However, no method of internet transmission or electronic storage can be guaranteed to be completely secure.
16. Cookies and website technologies
My website may use cookies and similar technologies.
Cookies are small files or pieces of information that may be stored on your device when you visit a website.
Some cookies are strictly necessary for the website to operate. Other cookies or similar technologies may be used for functions such as remembering preferences, understanding how people use the website, measuring website performance or supporting marketing.
Where applicable law requires consent before a non-essential cookie or similar technology is used, it will not be activated until you have made the relevant choice through the website's cookie controls.
Where available, you can use the website's cookie controls to accept, reject or change your preferences for non-essential cookies.
Cookies and services used on this website
Website platform: a static website of HTML, CSS and a small script for the menu and cookie notice.
Website/hosting provider: Microsoft Azure Static Web Apps.
Strictly necessary cookies: one cookie named bc_cookie_choice. It remembers whether you accepted or rejected non-essential cookies, so the notice is not shown on every visit. It lasts for 6 months. Storing that choice is strictly necessary.
Analytics: Plausible (plausible.io) counts page visits, including which pages are viewed. It does not use cookies and does not identify individual visitors.
Functional cookies or services: none.
Marketing or advertising cookies/technologies: none on this website. The mailing list is hosted by Mailchimp. The signup button takes you to a Mailchimp page, which uses its own cookies. This website does not set Mailchimp cookies.
Embedded third-party content: none. Links to YouTube, Apple Podcasts, Spotify, Eventbrite, Substack and Mailchimp leave this website, and those sites use their own cookies once you arrive.
Fonts are stored on this website and are not loaded from another company.
Where third-party services place or use cookies, their own privacy and cookie information may also apply.
I will update this section if the cookies or similar technologies used by Breanne Cook Coaching change.
17. Your data protection rights
Depending upon the circumstances, UK data protection law may give you rights in relation to your personal information.
These can include the right to:
be informed about how your information is used;
request access to personal information held about you;
ask for inaccurate or incomplete information to be corrected;
ask for your information to be erased in certain circumstances;
ask for processing to be restricted in certain circumstances;
object to certain uses of your information;
receive certain information in a portable format where the right applies; and
withdraw consent where processing is based upon your consent.
These rights are not absolute. Whether a particular right applies can depend upon the circumstances and the lawful basis on which the information is being processed.

I do not currently use personal information to make solely automated decisions about you that produce legal or similarly significant effects.
If this changes, I will update this Privacy Policy and provide any additional information required by law.
21. Third-party websites
My website may contain links to websites operated by other organisations.
If you follow a link to another website, the way that organisation collects and uses personal information is governed by its own privacy practices.
I am not responsible for the privacy practices of independent third-party websites that I do not control.
22. Changes to this Privacy Policy
I may update this Privacy Policy from time to time to reflect changes in my services, the technology I use or applicable law.
The current version will be published on my website and will show the date on which it was last updated.
Where I intend to use existing personal information for a materially different purpose, I will provide appropriate information about that change before beginning the new processing where required.
